In Their Own Words

We did the Heritage Records Programme after my father passed, and there were papers in four different folders, some in boxes we had not opened in years. Nadia was very patient with the whole family — we had three siblings attending at different sessions. The handbook they produced is something we actually use now. I would not have known where to start on my own.

My mother had certificates in Chinese, Malay, and English — some quite old. I was worried a generic service would not know what to do with them. Heirmark understood the mix immediately. The inventory session took about two hours and we left with a clear folder system. The only thing I would mention is that it took a week to book an appointment, but that seems to reflect how many families they are seeing.

We attended the Heritage Reference Workshop as a group of five. My wife's family had records from three states and it had been a running conversation for years about how to make sense of it all. Ahmad facilitated the whole morning very smoothly. The draft binder alone was worth the session fee — it saved us weeks of back-and-forth about who held what.

What I appreciated most was that nobody tried to advise us on anything beyond the organisational work. We had already spoken to our lawyer separately, and the last thing we needed was another set of opinions on household decisions. Heirmark kept to the archive work entirely. Simple, professional, and very good at what they do.

Straightforward and thorough. We did the inventory session first as a test before committing to the full programme, and that turned out to be the right approach. The scanning checklist they gave us during the programme has been particularly useful — we worked through it ourselves over two weekends and now have digital copies of everything important.

My elderly mother has kept decades of family documents in various bags and drawers. After the Heritage Reference Workshop, she has a binder on her bookshelf that she can show to any of us when needed. The labelled cover sheet alone removed so much uncertainty about what she held. A quiet but genuinely useful session.

Three Family Journeys

Case Study · Family Records Inventory Session

A Household Clearing After a Parent's Move to a Care Home

The Situation

An adult son was responsible for clearing the family home in Ampang after his mother moved to assisted care. He discovered three decades of certificates, property documents, and old photographs spread across multiple rooms and containers, with no clear index of what existed.

The Session

A Family Records Inventory Session was held over two hours. A Heirmark facilitator worked through the household's materials using a structured worksheet, categorised items by type and approximate date, and produced a printed inventory covering 47 distinct record items.

The Outcome

The son shared the printed inventory with two siblings in different states. All three knew immediately which documents existed and which were missing. The folder kit was given to the eldest sibling for safekeeping. Duration: one session of two hours.

"It was exactly what I needed at exactly the right time. I came in with boxes and left with a list I could actually share with my brother and sister."

Three Generations of Records, One Household in Petaling Jaya

The Situation

A family of four adult children wanted to document their late father's extensive collection of records — spanning his own family background, years of professional correspondence, and a box of photographs dating to the 1960s. No one in the household had the time or a framework to approach the task alone.

The Programme

The Heritage Records Programme ran over five sessions across six weeks. Sessions covered inventory, label design, photograph categorisation, and the scanning checklist. A family-meeting agenda template was used in session three to agree on how records should be distributed between siblings.

The Outcome

The family received a final printed heritage handbook of 38 pages covering all categories of material. They completed digital scanning of the photograph collection independently over the following month using Heirmark's scanning checklist. Programme duration: six weeks, five sessions.

"The agenda template for our family meeting was something none of us would have thought of. It made a conversation that could have been difficult into something quite straightforward."

An Extended Family Spread Across Two States

The Situation

Six members of an extended family — three based in Kuala Lumpur, two in Selangor, one travelling from Penang — wanted to produce a shared reference of the family's records before an upcoming family gathering. They had no common understanding of who held what.

The Workshop

The Heritage Reference Workshop accommodated all six participants in a single morning session. Each member brought a summary of the records in their possession. The facilitator guided the group through an indexing exercise that produced a shared binder with sections assigned to each participating household.

The Outcome

Each participant left with a copy of the cover sheet reference index and a clear picture of where the family's collective records lived. Three of the six households subsequently enquired about the full programme for their own materials. Workshop duration: one session of three hours.

"We had been meaning to do this for years. One morning and we had what we needed. I wish we had found Heirmark earlier."
